How do hotels work with Tournkey to set up event blocks?

This Guide Walks You Through The RFP Process For Events And How To Ensure Customers Choose Your Property

1. Responding to a Tournkey RFP

- Tournkey will email a Request for Proposal (RFP) with event details and specific requirements.

- Click the unique link provided in the email to open and complete the RFP online.

- Enter information on room rates, room types, cut-off dates, and any requested concessions.

- When finished, click Submit. Tournkey will review your submission and, if accepted, send a Block Contract for your approval.

2. Rate Submission Best Practices

- Submit net rates, exclusive of commission; Tournkey’s platform fee is added for guests at checkout.

- Ensure your offer is at least $25 lower than comparable rates on your own website.

- Provide a block primarily of queen/queen rooms, with king rooms (plus pullouts) as needed.

- Including perks—complimentary parking, Wi-Fi, breakfast, and flexible cancellation—can make your offer stand out.

3. Selection & Listing on Tournkey

- Tournkey reviews all proposals based on pricing, amenities, responsiveness, and property performance.

- Selected hotels are featured on the official event booking site shared with clubs, coaches, and families.

- All group reservations for Tournkey events must be routed through the Tournkey system to ensure compliance; direct or third-party bookings are subject to additional service fees.
